We Collect Windows (“WCW”, “we”, “us”) is a commercial waste collection and uPVC recycling business based at Unit 2, Fiddlers Lane, Irlam, Manchester M30 7RN, United Kingdom. We Collect Windows is part of the Orca Environmental group — Orca Environmental is our parent company. We are registered with the Environment Agency as an upper-tier waste carrier (registration CBDU505506).

This policy explains what personal data we collect, why we collect it, and the choices you have. It covers all of our digital services:

• Our website at wecollectwindows.co.uk, including its contact and newsletter forms.
• The WCW operations app at app.wecollectwindows.co.uk, including the installable mobile app and the version distributed through the Apple App Store. This is the client portal, admin console and driver app used to book and manage waste collections.
• WhatsApp, phone and email conversations you have with our team.

We Collect Windows, part of the Orca Environmental group, is the data controller for the personal data described in this policy. You can contact us about anything in it at info@wecollectwindows.co.uk or by post at the address above.

The data we collect

When you use our website

• Enquiry details. If you use the contact form we collect your name, company, email address, phone number, the reason for your enquiry and your message, so we can respond to you.
• Newsletter sign-up. If you subscribe we collect your email address so we can send you occasional updates. Every email includes an unsubscribe link.
• Usage data. We use Google Tag Manager and analytics cookies to understand how the website is used — pages visited, approximate location, device and browser type. See our Cookie Policy for details and how to opt out.

When you use the WCW operations app

• Account details. Your name, email address, phone number and sign-in credentials, together with the company (organisation) you belong to and your role within it.
• Company and site details. Your company name, collection site addresses, access notes and the contact people for each site.
• Booking and collection records. Bookings you make, collection statuses, weighbridge weights, waste descriptions and the documentation (such as waste transfer notes and reports) generated from them.
• Photos. Our drivers may take photos of a load at pickup using the device camera, and clients may attach photos to bookings. Camera access is only used when you choose to take or attach a photo — the app does not access your camera or photo library in the background.
• Messages. If you contact us on our WhatsApp Business number, we receive and store your messages and phone number. Message content may be processed by an AI service (Anthropic Claude) solely to draft a booking from your request; a member of our team always reviews and confirms it.
• Technical and diagnostic data. Device and browser information, error reports and app usage events that help us keep the service reliable and improve it.

We do not collect precise device location in the background. Map features display site addresses you have provided to us.

Why we use your data

Under UK data protection law (UK GDPR and the Data Protection Act 2018), we rely on the following lawful bases:

• Performance of a contract — running your account, taking bookings, carrying out collections and providing weights, documents and reports.
• Legal obligation — waste duty-of-care record keeping. Waste transfer documentation must be retained by law, so records connected to a completed collection are kept even if your account is closed.
• Legitimate interests — responding to enquiries, securing the service, preventing misuse, and understanding how our website and app are used so we can improve them.
• Consent — the newsletter and non-essential cookies. You can withdraw consent at any time.

Who we share it with

We do not sell your personal data, and we do not share it with third parties for their own advertising.

Within our group. We may share your data with our parent company, Orca Environmental, and other companies in the Orca Environmental group for administration, compliance and reporting, on the same terms as this policy.

We also use a small number of service providers who process data on our instructions:

• Hosting and infrastructure — Vercel (application hosting) and Convex (database and file storage).
• Email delivery — Resend, for transactional emails such as booking confirmations.
• Messaging — Twilio, which powers our WhatsApp Business and SMS channels.
• AI processing — Anthropic, used only to draft bookings from messages you send us; your data is not used to train their models.
• Analytics and reliability — Google (Tag Manager/Analytics on the website), and error-monitoring and product-analytics tools in the app.

Some of these providers store data outside the UK (for example in the United States). Where they do, transfers are protected by recognised safeguards such as the UK International Data Transfer Agreement or Addendum, or an adequacy decision.

We may also disclose data where the law requires it — for example, waste transfer documentation to the Environment Agency or other regulators.

How long we keep it

• Enquiries — up to 24 months after our last contact with you.
• Account, company and booking data — for as long as your account is active, then deleted or anonymised within 12 months of closure.
• Waste transfer documentation and associated collection records — for the period required by environmental law (at least two years from transfer), regardless of account status.
• Analytics data — retained per the tool's standard retention period, in aggregate wherever possible.

Your rights

You have the right to access the personal data we hold about you, to have it corrected or deleted, to restrict or object to our use of it, and to receive a copy in a portable format. Where we rely on consent, you can withdraw it at any time.

To exercise any of these rights, email info@wecollectwindows.co.uk. We respond within one month. If you are unhappy with how we handle your data you can complain to the Information Commissioner's Office (ICO) at ico.org.uk.

Deleting your account

You can request deletion of your WCW app account at any time from the app's account settings, or by emailing info@wecollectwindows.co.uk from your registered address. We will close the account and delete personal data that we are not legally required to keep; waste transfer documentation is retained for the statutory period described above.

Children

Our services are for businesses and sole traders and are not directed at children. We do not knowingly collect data from anyone under 16.

Security

Data is encrypted in transit, access to the app is role-based so users only see their own organisation's records, and administrative access within WCW is limited to staff who need it.

Changes to this policy

We will update this page when our practices change and revise the date at the top. Significant changes affecting app users will also be flagged in the app or by email.
